Justworks Hours + Justworks Integration
This article covers a new feature that will become available to all Justworks customers during a phased rollout in May 2021.

The Justworks-Justworks Hours integration is an all-in-one solution for customers to access time tracking and payroll from one place. Employees can clock in and out from any device and once a shift is approved, it will automatically sync to the Justworks Timecard. Justworks customers will be able to create a new Justworks Hours account through a Product Details page in Justworks and experience the integration for free until December 31, 2021.

Enable the integration starting from Justworks Hours

After you login to your Justworks Hours account, click on the Integrations tab at the top of the page, and then find the Justworks card to click Connect Now.

You’ll be redirected to Justworks to login and enable the integration.

After you land on the Justworks Hours Success Page, you’ll be redirected to Justworks Hours employee matching page to match the Settings tab to match Justworks employee profiles to Justworks Hours profiles. For any employee using Justworks Hours, including Managers who approve shifts, use the drop down menu on the right side and to select their name. For any employee who will not use Justworks Hours, select “Ignore”.

Enable the integration starting from Justworks

All admins with Timecards permissions will be able to enable the integration. Managers will not be able to enable the integration. We make it easy for you to either connect your existing Justworks Hours account, or create a new Justworks Hours account for your company if you don’t have one yet. To get started, click on the Timecards tab and then click on the Justworks Hours integration link at the upper right corner.

Create a new Justworks Hours account

On the Justworks Hours integration page, select “Create a Justworks Hours account” on the right side. You’ll be redirected to the Justworks Hours website and we will automatically create a Justworks Hours account for your company and Justworks Hours profiles for you and all of your employees. Syncing information from Justworks will take a few minutes and then you’ll land on the Justworks Hours employee matching page. All employees will be added in a pending state and you’ll use the drop-down menu on the right side to “Add employee” for anyone using Justworks Hours - including Managers who will approve shifts. Select “Ignore” for any employee who will not use Justworks Hours. Then select Save.

Your team will be able to access their Justworks Hours account using their same Justworks login information - no new usernames or passwords needed! When they login to Justworks Hours, they’ll see a “Sign in with 3rd party” option to connect to Justworks. The admin enabling the integration will be set as the admin on Justworks Hours.

Connect an existing Justworks Hours account

If your company already uses Justworks Hours, you can simply select “Connect existing account”. After you land on the Justworks Hours Success Page, you’ll be redirected to Justworks Hours employee matching page to match Justworks employee profiles to Justworks Hours profiles. For any employee using Justworks Hours, including Managers who approve shifts, use the drop down menu on the right side and select their name. For any employee who will not use Justworks Hours, select “Ignore”.

Justworks Hours shifts syncing to Justworks Timecards

Approved Justworks Hours shifts will begin to automatically sync to Justworks Timecards immediately after you enable the integration. Hours should appear on Justworks Timecards in 5 minutes and can be found in the “Saved Drafts” tab. For each employee using Justworks Hours, we’ll include a label on their Justworks Timecard so that you can easily identify when shifts were synced from Justworks Hours.

Here’s an overview of the process:

Approve Justworks Hours shifts

Login to Justworks, click on the Timecards tab, and select the “Saved Drafts” tab

Click “Edit” for each Timecard and click “Calculate overtime”

Review the Timecards for accuracy to ensure all hours worked are accurately reported, applicable wage rates are applied, and overtime wage calculations are accurate and complete

Approve the Justworks Timecards

As you can see above, you’ll be approving the shifts in Justworks Hours before calculating overtime and approving the Justworks Timecards. Both approvals are required in order for employees to be paid.

As a heads up, overnight shifts will split at midnight. This will ensure that the hours worked are assigned to the correct work day.

Calculate overtime in Justworks

You will calculate overtime on the Justworks Timecards at the end of the pay period. It’s best to record overtime at the end of the pay period to ensure that all hours worked are factored into the overtime calculation, based on federal and state requirements.

Before the 2pm EST payroll processing deadline, click “Calculate overtime” and review the Timecard to make sure the wage payments are accurate and complete before clicking Approve. Once you approve the Timecard, it is locked and no further Justworks Hours shifts will sync to Justworks from that pay period.

Enabling the integration in the middle of the pay period

Only after enabling the integration will approved Justworks Hours shifts automatically sync to Justworks Timecards. Any shifts that were approved prior to the enabling the integration will need to be synced individually using the Justworks Hours Reports tab on the left side of your Justworks Hours dashboard. Please note that this is a one-time event required for the initial setup of the integration. After you enable the integration, approved shifts will sync automatically within five minutes.

This means if you are enabling the integration in the middle of the pay period, you’ll use the Reports tab and click “Send” on the right side of each shift that was approved prior to you enabling the integration. You’ll know the shift was sent to Justworks successfully if the status is updated to “Sent”.

Editing a shift in Justworks Hours

As long as the Justworks Timecards haven’t been approved and payroll has not processed, you can edit shifts on Justworks Hours (even if you’ve approved them) and the changes will automatically appear on the employee’s timecard on Justworks.

If you’ve already Approved the Timecard, any changes in Justworks Hours for that pay period will not sync to Justworks. Instead, you can edit the hours directly on the Justworks Timecard, if payroll hasn't been processed yet, by clicking the Edit button and then clicking Approve again. If you’re editing the Timecard, we recommend you also update the applicable shifts on Justworks Hours to ensure information is accurate in both places.

Confirm that shifts successfully synced to Justworks

Login to Justworks Hours and click on the Reports tab on the left side. After you select the week, you can confirm that shifts were sent over successfully if you see a “Sent” status on the right side of the shift. You can use these Reports to cross-reference the information on the Justworks Timecards.

Setting up Managers who approve shifts

After you complete the Justworks Hours employee matching page, head to each Manager’s Justworks Hours profile and update their “Role” to Manager using the drop-down menu and click Save.

FAQs

Can Justworks Hours help with California meal-time and break-time requirements?

Yes - customers can set up custom break rules and notifications so that employees receive an alert when their break time is approaching. At this time, Justworks Hours does not automatically calculate meal break penalties.

Can I use Justworks Hours to track time for my salaried employees?

Yes - all employees on Justworks can start using Justworks Hours. Many of our customers use the simple project tracking functionality to help their employees manage their time and understand how much time is being devoted to certain projects.

Please note that salaried exempt employees will continue being paid on our automated payroll on Justworks, regardless of hours worked. This means they will not be paid via Timecards.

Can I use Justworks Hours to track time for my contractors?

Yes - all contractors on Justworks can start using Justworks Hours to track time. Although time recorded in Justworks Hours for contractors will not sync to Justworks, customers can still use the feature through Justworks Hours and schedule 1099 payments through the Payments Center in Justworks.

Can I use Justworks Hours to pay multiple rates to my employees?

While Justworks Hours can support multiple rates, it will require that customers calculate overtime manually on the Justworks Timecards. After approved shifts sync to Justworks, Admins can edit the Timecard and click “Add overtime” to input the overtime amount owed. Learn more about setting up multiple rates on Justworks Hours.

What information is shared between Justworks Hours and Justworks?

Justworks Hours sends all approved shifts to Justworks and serves as the recordkeeper for all time worked. Any changes to the hours your employees worked must be entered in Justworks Hours. Justworks will send Justworks Hours information from existing employee profiles and serves as the source of payments. Overtime is calculated in Justworks.

Can I disconnect the integration?

If you decide to disconnect the integration, you can do so directly on Justworks Hours, by going to the Integrations tab and clicking “Disconnect”. After that, approved shifts from Justworks Hours would not flow automatically in Justworks Timecards.
